AI Outbound Calling

AI Outbound Calling for the Follow-Up Calls You Never Get To

By Hitesh Lamba · Updated

The short answer

AI outbound calling uses an AI phone agent to make the follow-up calls your team never gets to: calling back leads who asked for a call, following up on quotes, confirming appointments and reminding customers about maintenance. Larkpin only runs these calls to contacts with documented consent, as the FCC's 2024 ruling requires, and every call says it is AI.

  • Every requested callback happens, even on your busiest day
  • Quotes get followed up instead of going quiet
  • Consent-based calls only, built around the FCC's 2024 ruling

What is AI outbound calling?

AI outbound calling is an AI phone agent that places calls for your business: callbacks, follow-ups, confirmations and reminders. It talks in a natural voice, answers common questions, and books times on your live calendar. Then it logs every call so your team can see what happened.

Larkpin, a local SEO, web design and AI automation agency for US local businesses, sets up AI outbound calling for one job: making the calls that matter but never get made. The lead who asked for a call at 6 p.m. The estimate you sent last Tuesday. The tune-up customer who is due. Every one of those calls goes only to people who gave consent.

Which calls should an AI phone agent make?

An AI phone agent should make calls that people expect and want: calls they asked for, or calls about work they already have with you. These are the five use cases Larkpin builds.

  1. Callbacks to web leads who asked to be called. A homeowner checks "call me" on your quote form at 8 p.m. The agent calls within minutes, confirms the job and books an estimate. Harvard Business Review's 2011 study "The Short Life of Online Sales Leads" found firms that contacted a lead within an hour were nearly 7 times as likely to qualify it.
  2. Quote follow-ups. An estimate went out three days ago and nobody replied. The agent calls the customer who requested it, asks if they have questions, and books the job or a call with you.
  3. Appointment confirmations. The agent confirms tomorrow's visits and offers new times to anyone who needs to move.
  4. Past-customer reactivation, with consent. Customers who agreed to hear from you get a call when they are due for service again.
  5. Maintenance reminders. Furnace tune-ups, six-month cleanings, seasonal irrigation startups: the agent reminds and books.

Notice what is missing from that list: cold calls to strangers. Larkpin does not build them.

AI outbound calling is legal in the US when you have the right consent from the person you call. The rule that matters most is the FCC's February 2024 Declaratory Ruling, and every AI calling system we build follows it.

On February 8, 2024, the Federal Communications Commission released Declaratory Ruling FCC 24-17 (CG Docket No. 23-362, adopted February 2, 2024). The ruling confirmed that the Telephone Consumer Protection Act's limits on calls using an "artificial or prerecorded voice" cover current AI technologies that generate human voices, including voice cloning. In plain English:

  • AI voice calls need consent. Calling a consumer with an AI-generated voice requires the called person's prior express consent, absent an emergency purpose or exemption.
  • Marketing calls need written consent. If the call includes an advertisement or counts as telemarketing, FCC rules require prior express written consent.
  • The caller must identify itself. Artificial or prerecorded voice messages must identify the business responsible for the call.
  • Marketing calls must offer an opt-out. Telemarketing calls using an artificial voice must give the person a way to ask you to stop calling.

You can read the full ruling on the FCC's site: FCC 24-17 Declaratory Ruling.

How Larkpin applies the ruling: we only run AI outbound calls to contacts with documented consent. We add consent language to your forms, store when and where each person agreed, and keep calls inside the federal 8 a.m. to 9 p.m. local calling window for telemarketing and inside your own hours. Some states add their own calling rules, so we work with your rules too. This page is not legal advice, and your attorney should approve your consent wording.

What problem does AI outbound calling solve?

AI outbound calling solves the follow-up gap: the calls everyone agrees should happen, but nobody has time to make. You know the pattern. The estimate goes out and you never hear back. You mean to return a call after the job, and suddenly it is 9 p.m. The front desk spends all morning on confirmation calls.

Each of those is lost money in slow motion. A quote that nobody follows up on often goes to the company that did call. A lead who asked for a callback and waited until tomorrow has usually moved on. An unconfirmed appointment is more likely to be a no-show.

Your team is not doing a bad job. A person can only make so many calls between jobs, and follow-up calls are always the first thing to slide.

How does an AI outbound call work?

An AI outbound call follows the same pattern every time. Here is what the person on the other end experiences:

  1. The phone rings from your business number or a local number tied to your business.
  2. The agent introduces itself. For example: "Hi, this is the AI assistant for [your business name], calling about the tune-up reminder you signed up for."
  3. It gets to the point. It confirms the reason for the call and asks one simple question.
  4. It handles the answer. It can answer common questions from your approved details, book or move an appointment on your live calendar, or take a message.
  5. It hands off when needed. If the person asks for a real person, sounds upset, or has an urgent or complex issue, the agent transfers the call or books a callback with your team.
  6. It wraps up and logs the call. The person gets a text confirmation if something was booked, and your team sees a summary and recording.

Calls that reach voicemail leave a short, honest message with the business name and a callback number.

What does an AI phone agent do by industry?

An AI phone agent handles different follow-up calls in each trade. Here are the common ones for the industries Larkpin serves.

Industry Consent-based calls the AI phone agent handles
HVAC Seasonal tune-up reminders for plan members, callbacks on repair requests, estimate follow-ups
Roofing Callbacks on inspection requests after storms, estimate follow-ups, inspection confirmations
Plumbing Callbacks on web requests, water heater estimate follow-ups, visit confirmations
Electrical Panel and EV charger quote follow-ups, appointment confirmations
Landscaping Spring and fall service reminders for past customers who opted in, estimate follow-ups
Auto repair Service-due reminders, appointment confirmations, "your car is ready" calls
Dental Appointment confirmations and recall reminders for patients who agreed to calls, with clinical questions sent to staff
Law firms Callbacks to people who contacted the firm and consult confirmations, with case details left for the attorney

How does an AI sales agent compare to other options?

An AI sales agent makes more of your follow-up calls than a busy team can, while staying more useful and more honest than a recorded robocall. Here is how the options compare.

AI outbound calling from Larkpin Owner or staff calls Prerecorded robocall Outsourced call center
Calls made on time Every call on the schedule When there is time Yes Yes, during shifts

What does Larkpin set up for you?

Larkpin sets up and runs your AI outbound calling, so you approve the scripts and rules and we handle the rest. The scope:

  • Choosing which use cases to start with, usually callbacks and confirmations.
  • Adding consent language to your forms and storing proof of consent for each contact.
  • Writing call scripts in your voice, plus voicemail messages and handoff rules.
  • Connecting your calendar: Google Calendar, Outlook, or field-service software such as ServiceTitan, Jobber or Housecall Pro where the tool allows a connection.
  • Setting calling hours, retry limits and do-not-call handling.
  • Live transfer to your team's phones, with a summary sent ahead of the call.
  • Test calls with your team before launch, then monthly review of recordings and results.

Most AI calling systems go live within days. Larger reactivation campaigns run alongside database reactivation.

What are Larkpin's five promises for AI calls?

Larkpin builds five promises into every AI phone agent, on top of the consent rules above.

  • It says it is an AI assistant. We never disguise AI as a human.
  • A real person is one step away. Anyone can ask for a person at any time. Urgent, upset or in-pain callers are transferred or flagged immediately.
  • After hours and overflow first. The agent makes the calls your team cannot get to. Your people keep the calls they want to make.
  • It only books real openings. It reads your live calendar and your rules (service area, job types, hours). It does not invent times.
  • Big or complex jobs go to you. Roof replacements, legal intake details and treatment questions: the agent collects details and hands off.

For dental, med spa and chiropractic offices, we design these setups with HIPAA requirements in mind and keep clinical details out of AI conversations unless your agreements and tools cover them.

How do we measure AI outbound calling?

We measure AI outbound calling by what the calls produce, in a plain-English monthly report:

  • Calls made, reached and sent to voicemail, by use case.
  • Appointments booked or confirmed from AI calls.
  • Quotes followed up, and how many turned into booked jobs.
  • Live transfers and callbacks handed to your team.
  • Opt-outs and complaints, which we review on every report.

AI outbound calling works best as part of a full follow-up system:

See every system on the AI automation services page.

Which follow-up calls are you missing?

Most owners do not know how many callbacks and quote follow-ups slip each month. The Free Missed-Lead Audit tests how your business responds after hours and shows where consent-based AI outbound calling would close the gap. You get a recorded walkthrough within 2 business days.

Questions owners ask us

Is AI outbound calling legal?

Yes, when the person you call has given the right consent. The FCC's February 2024 Declaratory Ruling (FCC 24-17) confirmed that AI-generated voices count as an artificial voice under the TCPA. Calls to consumers need prior express consent, and marketing calls need prior express written consent. Larkpin only runs AI calls to contacts with documented consent. Your attorney has the final word on your consent language.

Can I use AI to cold call homeowners?

No, and Larkpin will not build that. Cold-calling consumers with an AI voice and no consent breaks the TCPA as the FCC applied it in 2024, and it also annoys the people you want as customers. Our AI calls go only to people who asked to be called or gave documented consent, such as a lead who requested a callback or a customer enrolled in maintenance reminders.

Will people know they are talking to an AI?

Yes. The AI phone agent says it is an AI assistant calling for your business at the start of every call. Federal rules require artificial voice calls to identify the business responsible, and we think honesty works better anyway. Anyone who wants a real person can ask, and the agent transfers the call or books a callback with your team.

What is the difference between an AI sales agent and a robocall?

A robocall plays the same recording to everyone and cannot answer a question. An AI sales agent holds a real conversation: it answers common questions about your services, handles a reschedule, and books a time on your live calendar. Both count as artificial voice calls under the TCPA, so both need consent. The difference is what happens once someone picks up.

What happens if someone says stop calling?

The AI phone agent confirms the request on the call and the number is marked do not call in your system right away. No further AI calls or marketing texts go to that number. Marketing calls also include an opt-out method, as FCC rules require. You can see every opt-out in your monthly report.

Can the AI close big jobs on the phone?

No, and it should not try. The AI phone agent is good at follow-up, confirmations, simple questions and booking. A roof replacement, a legal matter or a treatment plan needs you. On those calls the agent collects the details, answers what it safely can, and books a time with you or transfers the call to your team.
