What does an AI automation agency do?
An AI automation agency sets up AI systems that do the repetitive work that eats your day and costs you jobs. Answering the phone when you are on a ladder. Texting back the lead who filled in a form at 10 p.m. Reminding tomorrow's patients. Asking yesterday's customers for a review.
Larkpin is a local SEO, web design and AI automation agency for US local businesses. We do not sell you software and wish you luck. We build each system, connect it to your calendar and tools, test it with real calls, and keep tuning it every month. AI is the how. The point is more booked jobs and fewer leads that "just hit the next company."
Where does AI for small business actually help?
AI for small business helps most at the moments when nobody is free to answer. Those moments are easy to spot: after hours, weekends, lunch, and any time you are on a job. They are also where the money walks out the door.
The Invoca Call Conversion Benchmarks (2025) found that only 61% of callers reach a live person, with answer rates running from 54% to 69% by industry. The same report found home services convert 46% of phone leads during the call. A call that goes to voicemail does not get that chance. Plenty of callers never leave a message. They call the next company.
Speed matters just as much for web leads. Harvard Business Review's 2011 study "The Short Life of Online Sales Leads" found that firms contacting a lead within an hour were nearly 7 times as likely to qualify it, and 23% of firms never responded at all. AI automation for small business closes exactly that gap.
Which problems does AI automation fix?
AI automation fixes specific, everyday leaks in how leads become jobs. Here are the problems owners describe most, and the system that fixes each one.
| The problem | What it sounds like | The automation that fixes it |
|---|---|---|
| Missed calls on the job | "The phone goes to voicemail while I am on a roof" | AI receptionist or missed call text back |
| Nights and weekends | "Nobody answers after 5, and the emergency calls come at 9 p.m." | AI answering service |
| Slow follow-up on web forms | "By the time I call back, they already hired someone" | Speed-to-lead follow-up |
| Website visitors who leave | "People look at the site and never call" | AI website chatbot |
| Messages scattered everywhere | "Texts, Facebook, Instagram, I cannot keep up" | AI customer service agent |
| No-shows and phone tag | "Half my day is rescheduling" | AI appointment booking |
| Few reviews | "When I ask for reviews later, crickets" | Review generation and reputation |
| Tire kickers | "Most of my leads are not real buyers" | AI lead generation and qualification |
| An old customer list doing nothing | "I have thousands of past customers I never contact" | Database reactivation |
| Leads lost in the cracks | "I do not know which leads we followed up on" | CRM setup and automation |
Our 15 AI automation services
Our AI automation services fall into four groups, following a lead from the first ring to the repeat visit. Most businesses start with two or three and add more once those are working.
Answer every lead
- AI Receptionist: answers every call, books real appointments, and hands off to a person when it matters.
- AI Answering Service: after-hours and overflow answering that takes the message, sorts out what is urgent, and texts you.
- Missed Call Text Back: texts every caller you miss within seconds, so they do not call the next company.
- AI Website Chatbot: a chat assistant trained on your business that answers questions and books jobs on your site.
- AI Customer Service Agent: one AI agent across text, Facebook, Instagram, WhatsApp and web chat.
Convert more leads
- Speed-to-Lead Follow-Up: contacts every new form, call and ad lead in under a minute, then follows up until they book.
- AI Appointment Booking: books, confirms, reminds and reschedules on its own to cut no-shows.
- AI Lead Generation and Qualification: finds, scores and qualifies leads, so you only spend time on real buyers.
- AI Outbound Calling: consent-based AI calls for follow-ups, reminders, quotes and reactivation.
Grow repeat business
- Review Generation and Reputation: asks every happy customer for a Google review at the right moment and drafts replies.
- Database Reactivation: wakes up old leads and past customers with personal text campaigns.
- SMS and Email Marketing Automation: seasonal offers, maintenance reminders and nurture sequences that run on their own.
- Social Media and DM Automation: plans, writes and posts your content, and answers DMs and comments.
Run the business
- CRM Setup and Automation: one pipeline for every lead, with automated invoicing, payments and task follow-up.
- Custom AI Agents and Workflows: custom builds for what off-the-shelf tools cannot do, such as quotes, dispatch and intake.
Reviews belong on this list for a reason. The BrightLocal Local Consumer Review Survey (2026) found that 74% of consumers want to see reviews from the last 3 months, so the ask has to keep happening, every week, without you remembering.
What does "done-for-you" AI automation mean?
Done-for-you AI automation means we do the setup, the testing and the ongoing tuning, and you approve the decisions. You do not log into a dashboard at night to write call scripts. Here is how the work splits.
| AI software you set up yourself | Hiring more staff | Larkpin done-for-you | |
|---|---|---|---|
| Who writes the scripts and rules | You | Your trainer | We do, from a call with you |
| Who connects the calendar and tools | You | Not needed | We do |
| Covers nights and weekends | If you set it up right | Only with extra shifts | Yes |
| Who fixes it when callers get confused | You | Your manager | We do, from call reviews |
| Monthly reporting | Raw dashboards | None | Plain-English report tied to booked jobs |
What we need from you is small. One kickoff call about your services, rules and the questions you hear most. Access to your calendar or field-service software. And a quick review of how the AI sounds before it goes live.
How does an AI automation project work?
An AI automation project with Larkpin moves from audit to live system in days for most setups. Here are the steps.
- Free Missed-Lead Audit. We call and text your business after hours and record what happens, check your rankings, and compare your reviews with your top 3 competitors.
- Strategy call. We pick the two or three automations that will recover the most jobs first.
- Build. We write the scripts, set your rules for service area, job types and hours, and connect your calendar and tools.
- Test. We run real test calls and texts, including the awkward ones: angry callers, wrong numbers, urgent jobs.
- Go live. You approve, we switch it on, and we watch the first conversations closely.
- Tune and report. Every month we review conversations, fix weak spots, and send a plain-English report.
How do we keep AI in line? Our guardrails
Our guardrails exist because the most common owner fear is an AI that annoys customers or books the wrong job. These five rules apply to every voice and chat system we build:
- It says it is an AI assistant. We never disguise AI as a human.
- A real person is one step away. Callers can ask for a person at any time. Urgent, upset or in-pain callers are transferred or flagged right away.
- After hours and overflow first. It answers when you cannot. Many owners keep their front desk and use AI for nights, weekends and lunch rushes.
- It only books real openings. It reads your live calendar and your rules (service area, job types, hours). It does not invent times.
- Big or complex jobs go to you. Roof replacements, legal intake details and treatment questions get collected and handed to a person.
Compliance is built in too. Under the FCC's February 2024 Declaratory Ruling (FCC 24-17), AI-generated voices count as "artificial or prerecorded voice" under the TCPA. Calls to consumers need prior express consent, and marketing calls need prior express written consent. Larkpin only runs outbound AI calls to contacts with documented consent. Marketing texts need opt-in, every text sequence honors STOP, and 10DLC registration is handled during setup.
For dental practices, med spas and chiropractors, we design setups with HIPAA requirements in mind, keep clinical details out of AI conversations unless your agreements and tools cover them, and work within your practice's compliance policies.
Which tools do our AI systems connect to?
Our AI systems run on our automation platform and connect to the tools you already use, where the tool allows a connection. That includes Google Calendar and Outlook, and field-service software such as ServiceTitan, Jobber or Housecall Pro. In most setups your phone number stays the same, and we forward calls to the AI only when you want it to answer, for example after 6 p.m. or after four rings.
AI agents for small business, by industry
AI agents for small business look different in every trade. A roofer needs storm-season overflow handled. A dental office needs recall reminders. Here are a few examples of where each industry usually starts.
| Industry | Where AI usually starts |
|---|---|
| Roofing | Storm-season overflow answering, inspection booking, review requests after each job |
| HVAC | No-cool and no-heat calls at night, maintenance plan reminders |
| Plumbing | Emergency call triage after hours, missed call text back |
| Electrical | Quote follow-up, lead qualification for panel and EV charger jobs |
| Landscaping | Estimate follow-up, spring and fall campaigns to past customers |
| Dental | New patient calls, recall reminders, no-show reduction |
| Med spas | Consult booking from DMs, rebooking campaigns |
| Chiropractors | New patient intake, care-plan reminders, reactivation |
| Law firms | After-hours intake, fast follow-up on web leads |
| Auto repair | Appointment booking, service reminders, reviews |
How do we measure AI automation results?
We measure AI automation by what it recovers: calls answered, response time to new leads, appointments booked, no-shows, and new reviews. Each monthly report compares those numbers with the month before and shows a sample of real conversations, so you can hear how the AI handled your customers.
Our founder, Hitesh Lamba, has run an SEO agency since 2013. The lesson from those years carries over: reports should be short, honest and tied to money you can see. If an automation is not earning its place, we will tell you and change it.
Common mistakes with AI automation
The most common mistakes with AI automation come from switching it on and walking away. Watch for these:
- Letting the AI book any slot instead of reading your real calendar and rules.
- Hiding that it is AI. Customers notice, and they resent it.
- No way to reach a person. That turns a helpful tool into a phone tree.
- Outbound calls or texts to people who never gave consent.
- Never reviewing the conversations, so the same confused answer repeats for months.
